Why Portals May Not Display Subscriptions — Troubleshooting Guide
Audience: Administrators, Support Engineers
Overview
When customers log into the Work 365 Self-Service Portal and cannot see their subscriptions, the issue typically results from configuration or visibility settings — not a portal defect.
In Work 365, subscription visibility is controlled by the Display on Portal flag and several related portal settings that determine what appears to customers.
This guide explains the key concepts, common root causes, and step-by-step troubleshooting procedures to restore subscription visibility in the portal.
Key Concepts
1. Display on Portal (Visibility Flag)
Each Subscription and Non-Recurring Item includes a Display on Portal field (found on the Portal tab).
Only records with this field set to Visible / Yes appear to customers in the portal.
2. Billable vs. Non-Billable Items
By default, non-billable items are marked as Not Visible.
If the item should appear to the customer, manually change this to Visible.
3. Product Catalog Gating
Certain products are for internal use only.
If a product is not enabled for portal display, related subscriptions will not appear in product-driven lists.
4. Portal Cache
Changes made in Dynamics 365 may not immediately appear in the portal until the cache is cleared or the Power Pages site is restarted.
